Terms of Service

These terms apply when you use AuditFlow ("we", "us"), run by [your legal name or business name], [your address]. By creating an account you agree to them. AuditFlow is for businesses, not consumers.

1. What AuditFlow is

Software for tradespeople to create quotes, change orders and invoices, store job photos, track renewals and receive enquiries. It is a tool only. It does not give legal, tax, accounting or insurance advice, and it does not produce regulated certificates (for example gas or electrical safety certificates).

2. Your account and free trial

You must be 18 or over and give accurate details. Keep your password safe: you are responsible for what happens on your account. The 14-day free trial needs no card. When it ends you need a paid plan to keep using AuditFlow.

3. Plans and payment

Prices on our website exclude VAT unless stated. Payments are handled by Polar, our payment provider and merchant of record, which charges your card and deals with sales tax. Subscriptions renew every month or year until cancelled. We will give at least 30 days' notice before a price change takes effect. See our refund policy.

4. Your content and your customers' data

You own your content. You allow us to store and process it to provide the service. You are responsible for it being lawful, for having the right to use your customers' details, and for telling your customers how you use their data. For your customers' personal data you are the controller and we act as your processor (see our privacy policy).

5. Your responsibilities as a tradesperson

Your quotes, prices, VAT, invoices, contracts, guarantees, consumer rights, permits, qualifications, insurance and safety are your responsibility. Check calculations and wording before you send anything. We do not hold or move money between you and your customers: your invoices show your own payment details.

6. Acceptable use

Do not use AuditFlow for anything unlawful, to send spam or harass anyone, to try to access other accounts, to disrupt the service, or to misuse the enquiry page. Do not create fake quotes or invoices. Do not ask only happy customers for reviews or offer rewards for positive reviews.

6A. Websites, forms and customer links

If you publish a business web page or share a form, portal, quote or invoice link, its content and contact details can be seen by anyone with the link or, for web pages, by anyone on the internet. You are responsible for what you publish and for it being accurate, lawful and not misleading. Only list accreditations, registrations and qualifications you actually hold and keep them up to date. Forms in AuditFlow are record-keeping templates, not official certificates. We may unpublish or block any page that breaks these terms, and you cannot reverse a block yourself. To report a page, email us.

6B. Referrals

If you refer a friend and they pay for a plan (the free trial does not count), you can earn one month of your own plan free, worth no more than your friend's first payment (before VAT), up to 50 rewards in 12 months. Rewards are applied after the 14-day refund period and only while your friend is still paying. You cannot refer yourself or businesses you control. We may withhold or cancel rewards we reasonably believe are abusive.

6C. Tax tools and CIS

AuditFlow includes calculators and reminders, including a Construction Industry Scheme (CIS) calculator. They are for information only. We are not tax advisers, accountants or agents and we do not send anything to HMRC. You are responsible for checking each subcontractor's status with HMRC, deducting the right amount, filing returns, and paying HMRC on time. Check all figures before you rely on them.

6D. WhatsApp and messages

AuditFlow does not send texts, emails or WhatsApp messages to your customers for you. Our buttons open WhatsApp or your email app with a message ready, and you choose whether to send it. WhatsApp is run by Meta and is covered by its own terms, and email goes through your own email provider. Make sure you have your customers' agreement to contact them.

7. Availability

We aim to keep AuditFlow running but cannot promise it will always be available or error-free. We may update or change features. Keep your own copies of important records.

8. Our responsibility to you

Nothing in these terms limits liability that cannot be limited by law, including fraud or death or personal injury caused by negligence. Otherwise we are not liable for indirect or consequential loss, lost profit, lost business or lost data, and our total liability for any claim is limited to the fees you paid us in the 12 months before the claim. AuditFlow is provided "as is".

9. Ending your account

You can stop using AuditFlow at any time and delete your account in the app (Home, then Your details). We may suspend or close accounts that break these terms. When an account is deleted we delete its data as described in our privacy policy.

10. Changes to these terms

We may update these terms. For important changes we will tell you by email or in the app.

11. Law

These terms are governed by [the law of England and Wales] and its courts.
